How we handle your data

1. Who we are

PlayPocketGuide - Play therapy access NOW ("we", "us") is a parenting support app provided by Debbie Groombridge, a certified play therapist. We are responsible for the personal information you share when using the app and the Personalised Email Consultation service.

2. What we collect

  • Account details: your name and email address, used to identify you and deliver services.
  • Child profiles: your child's name, age, stage, interests, known triggers, and notes — used to tailor guidance.
  • Journal entries & weekly check-ins: situations you log, strategies tried, and how well they worked.
  • AI therapist questions: the situation and child details you enter when asking for guidance.
  • Therapy plans: the focus and generated plan content you create and save.
  • Consultation requests: your question, child details, background, and email for the paid consultation.
  • In-person enquiries: your name, location, email, and message if you request an in-person session.
  • Payment information: handled by our payment provider (Base44 Payments); we do not store your card details.

3. Legal basis for processing

  • Consent: for processing your child's personal data (profiles, AI therapist, therapy plans) — you confirm you are the parent or carer and consent before these features are used.
  • Contract: for delivering the paid Email Consultation and Premium subscription you've purchased.
  • Legitimate interest: for account management, security, and improving the app's content.

4. How we use your information

  • To generate personalised, evidence-based guidance through the AI therapist and therapy plan features.
  • To prepare and deliver your personalised email consultation reply.
  • To track your progress through journal entries and weekly check-ins.
  • To send you a weekly summary email (Premium) and occasional service-related emails.
  • To maintain your account and subscription.

5. AI processing & international transfers

When you use the "Ask the Therapist" or therapy plan features, the details you enter — including your child's name, age, and situation — are sent to our AI model provider (a third-party LLM service) to generate personalised guidance. This provider may process data outside the UK/EU.

  • Your data is sent only for the purpose of generating your response — it is not used to train the provider's models.
  • We transfer only the minimum information needed to generate your guidance.
  • Appropriate safeguards (such as the provider's data processing agreement) are in place for any international transfer.

6. Who we share it with

  • AI model provider: receives the details needed to generate AI guidance (see section 5).
  • Therapist (Debbie): reviews your consultation question and background to prepare your reply.
  • Payment provider (Base44 Payments): processes payments under their own privacy policy. We do not store card details.
  • Email provider: delivers service emails (welcome, tips, weekly summaries, consultation replies).

We do not sell or share your data with third parties for marketing.

7. How long we keep it

  • Child profiles, journal entries & therapy plans: kept until you delete them or use "Delete all my data".
  • Consultation records: retained for as long as needed to provide the service and respond to follow-ups. You may request deletion after your reply has been delivered.
  • In-person enquiries: retained until your enquiry is resolved, then deleted.
  • Account data: kept while your account is active; deleted when you delete all your data.

8. Your rights

Under GDPR you have the right to:

  • Access your personal data (use Data Export to download it).
  • Rectification — correct inaccurate information in Profile Settings.
  • Erasure — delete your data at any time via "Delete all my data" in Profile Settings.
  • Data portability — export your data in JSON or CSV format from the Data Export page.
  • Withdraw consent — withdraw your consent for child data processing at any time in Profile Settings. This does not affect processing already carried out.
  • Object or restrict processing for legitimate-interest purposes.

To exercise any right, use the in-app tools or contact us using the email provided at checkout.

9. Security

Your information is stored securely with row-level access controls — only you (and app admins for support purposes) can see your data. Payment transactions are encrypted and processed by our certified payment provider. Access is restricted to authorised personnel only.

10. Children's data

This service is for parents and carers. We do not collect information directly from children.

When you add a child profile or use the AI therapist, you may share your child's name, age, interests, and known triggers. This is used solely to tailor the guidance you receive. Before using these features you will be asked to confirm that you are the parent or carer and that you consent to this processing.

You can withdraw consent and delete your child's profile and all associated data at any time from Profile Settings.

11. Changes to this policy

We may update this policy from time to time. The policy in force at the time you use a feature applies to that use.
